NEW INNKEEPER SYSTEM

CAPA’s R&D shop has been very busy during the last year building a completely new release for InnKeeper that provides a lot of new features you have been asking for, as well as now supporting "Touch Screen" hardware. There is a completely new look with mouse/touch boxes on the display surface.

Besides the "Boxes" being there for touch or the mouse, they also serve as help screens for keyboard users.
The POP UP Guest History, Folios, TA and Reservations are now built in and provide you with the ability to access these Pop Up’s regardless of your memory situation.We have also added a SHIFT & NODE INFO readout on the "Top Bar" to help you keep track of users and the current shift during operation of the system. We display the shift status (S=AM, S=PM, S=NT), the numbers of users logged into the system (1 to 15) and the node ID logged in (1 – 9 for nodes 1 to 9, and A –F for nodes 10 to 15). The Node highlighted in "
YELLOW" is your Node.Note: Node tracking only happens on Multiple User systems!
Appearance
We have changed two of the menus for better access to utilities we have designed and more powerful reporting built in. The RESERVATION and CHARGES & PAYMENTS have been modified. We believe that the new look and arrangements will streamline your operations and make it easier for you to perform these particular functions.
The

The Folio Manager, Folio Item Transfer, and Folio Item Void functions have been moved into this new menu item in Charges & Payments. You no longer have to go into EXTRAS to access them.
The main
Reservations menu has also been modified
In doing this, we have split off the cancellation functions for both
Singles and Blocks from their original positions and have moved them both into the new Cancellations menu.In the cancelled reservations menu we have:
- single reservations
- block reservations
- view/print cancellations
In Projections we have:
- projected occupancy
- occupancy forecaster
We changed the appearance of the popup
ROOM list (F8) so that the Room Numbers are displayed between the Guest Name and the recently added Company Name/Email field as shown in the screen shot on the next page.
New Features
We have built in some new features for you. They are:
Email confirmations to attach to your email replies related to reservations
Email reservation request merge so that info from the email request can be managed directly through
The ability to reserve a ROOM Number vs a Room Type, with a sophisticated tracking and viewing system.
A utility to insert 2nd Name to an existing single reservation or a folio with presentation via the POP UP Folio (ALT F9) or ROOM LIST (F8).
The capability to insert a block name into an existing single reservation or room folio.
General
The following highlights are provided
- No-show reservations are now automatically added to the canceled reservations file
- We can now support different local printers for each terminal on a network so you can have a dot matrix at the front desk and lasers for managers and reservations.
- In the case where the audit files are being copied to a different directory for future reference, we now check for the existence of the backup directly, and display an error message if it doesn't exist. If the directory does not exist, it will not be created automatically and the backup will not be performed. The directory must be created manually
- If there is a 2nd guest name associated with a room, that name will also appear on the F8 phone list pop up in the same way as does the original guest name
- Whenever we are at the copyright screen or getting a new date, the system will wait for input for a maximum of 5 minutes. After that 5 minute period, INNKEEPER will advance by itself to the login screen, keeping the same date
- When printing registration cards and direct billing reports, the form feeding at the end of the printout has been changed to accommodate laser and ink jet printers
- In the checkin confirmation report/letter we now include the guest's postal/zip code in the information options
- On a checkin when the list of rooms is displayed, we now display the recorded availability for each room type along side the number of rooms that are currently unoccupied
- Reduced by 5 the number of lines on a room list to prevent some printers from going out of alignment
- Have increased the default search length of a name in guest history from four (4) characters to six(6). Can be set up to 25 in the ini file.
- Elaborated on the message (File in use) that is displayed when a workstation is trying to access a file that is tied up by another workstation
Operations
- In front desk - Status - Shifts Menu - Shift Audit Reports, we can now select reports for all 3 shifts instead of just morning and afternoon
- INNKEEPER can now give a percentage discount to a guest on room charges
- When editing a single reservations, or when we've reached the edit mode in adding a single, INNKEEPER now pops up a window which displays the estimated cost per night and the estimated full cost of a stay by pressing <F4>
- When adding a single reservation, after entering the room type information, INNKEEPER now displays the actual room rate instead of the rack rate
- When reserving for a package, we now assign the number of package nights to the reservation only if the number of nights entered is less than the number of nights in the package
On cancellation of a reservation the new sequence is:
- system asks "Do you want to view payment information"
- on a yes to that, it will pop up the payment info and then forces an enter to continue
- it will then ask "do you wish to cancel", on a Yes
- then prompts for NAME OF CALLER
- and if an Advance Deposit is in recorded, the system will want to know how much of the advance deposit is to be refunded and how much is to be forfeited. Then to finalize the cancellation, you will be prompted for CKERK ID and then the system updates Guest History and prints the confirmation
- Expanded the display part of the cancellation utility. The cancellation record has been expanded to include room type/room rate/name of the person that called to cancel/reason for cancellation/and clerk id.
We now do a Call Accounting auto scan at checkout
We now ask a question before applying the daily surcharge to either a COMP room or a negative room charge
Added the capability to reinstate a service account, using manually entered name/address/payment/etc. including card swipe, but asking for former s/a #.
When transferring a room to a service account the default will now be Internal Account.
The date range for single and block reservations has been expanded from 1 year to 999 days
. A special AVAILABILITY file is created for this capability, but the F9 screen is still only for one (1) year forward.Reporting
- the clerk ID is now included in the individual transactions display/report
- In Occupancy Forecaster, we now print the grand total for the number of rooms sold in the period of the report.
- In Occupancy Forecaster, we now calculate the final ADR as Total Room Revenue/Total rooms sold in a given period. The projection range is now limited to 42 days so the report stays on one page.
Staff Notes
- In all areas of INNKEEPER where the word "Company" use to be displayed/printed, we have changed that to "Company/Email"
- On changing a room type, when we go to the room rate field we now keep the current room rate displayed, forcing the user to change it if a change is desired.
- Added a reference window/input (up to 10) when a payment is being posted, with options for
phone deposit ROA Movie or Kiosk deposits
- We now ask for clerk ID when posting a payment or charge, making an adjustment on the folio during check out, and when posting room and tax.
- In Folio Item Void we can now accept all the characters in the word September as a password. We also accept 8 characters as before.
- The clerk ID is now included in the individual transactions display/report
Energy/Special Surcharges
- In Charges/Payments we streamlined the daily surcharge. It now asks if it is to be applied to a room charge, and if the room charge is negative, the surcharge will also be negative.
- The system can auto post almost any special inventory and special room posting via parameters established in the ROOM.INI file.
- We can now divert revenue from rooms to another billing area as setup in the ini file.
- We can now post room charges on a once-per-month basis, energy surcharges, and automated discounts as well, through the Post Room & Tax routine. INI file setup is necessary for them to work.
Other
- A Windows version of the Reservations Summary utility and the Management Summary utility have been created
- United States only - will automatically insert the city and state name into the guest's address if the zip code is entered
- We can now accommodate taxes only and payments coming from a POS terminal
- On a checkin, room move, and a change to the length of stay, we now automatically calculate a credit limit for the guest based on the cost of the room and the length of stay. This
add on calculator is optional if you have integrated dining, etc., so the system can also calculate a limit with allowance for them as well.Additionally, the housekeeping has been changed to view rooms with a request and a menu to view who reserved it and for when and how long.
And if you have PPV movies integrated to InnKeeper, we have added a prompt in the checkin for PPV movie management so movies are not turned on because a credit was used, because the guest wants parental guard, etc.
